Mailing ListThe Moogo Mailing List feature makes it easy to share messages with your company's customers, your organization's members, or interest groups. Using the Mailing ListThe Mailing List feature can be found on the "Site Management" tab of the Maintenance page. You can enter the Maintenance mode by clicking the Mailing List feature. Read more about using this mode in the instructions below. Creating Mailing List GroupsYou can create several groups for a mailing list, helping you to keep the recipients clearly organized. The groups can be public, allowing users to choose their group when they join the mailing list. The groups can also be used solely for site maintenance. Create a new group by choosing the "Groups" tab on the left-hand column of the Mailing List feature. This view displays all the groups you have created, the exact number of addresses in each group, and the group's public status. Add a new group by clicking the "Add a Group" button. Give the group a name and a description. You can also choose to make the group public, allowing a user to see and select the group when joining the mailing list. Example 1:A company offering educational services has created several groups on their mailing list, some of which are public. Those who are interested in the business are encouraged to join the mailing list and choose a group, and they will only be sent e-mails corresponding to that group. Example 2:The Boy Scouts Club has created several groups for their mailing list, but does not want them to be public. All the users joining the club's mailing list join the same group, and the Mailing List Maintenance can direct them to appropriate groups, if needed. The Mailing List Maintenance can easily add new users to selected groups on the Maintenance page -- for instance, "Board", "Interest Groups" or "Regional Leaders." The same recipient can belong to several groups at the same time. Editing the Mailing List Group and Adding New AddressesYou can edit the group information and add new addresses by clicking your selected group in the Maintenance mode. This display will allow you to:
Adding new addressesYou can add new e-mail addresses and mobile phone numbers by clicking the "Add New Addresses" button. Type in the addresses and numbers on top of each other in the text fields, one for each line. Click the "Add" button.
Moving, copying and deleting addressesChoose the addresses to be moved or copied by checking the box on each address. Next, choose the action you want to perform from the drop-down menu. When you move an address, the address is transferred in its entirety to the new group and deleted from the previous group. When you copy an address, the address is not deleted from the original group. When you delete an e-mail address from a group and the address is no longer in any of the groups, it becomes passive. The address is not directly removed from the system; you can continue using it in the future. When you delete a passive address, it is completely deleted from the system. Read more on passive addresses under "Passive Addresses." Note! If you are using only one group, it is not possible to move or copy the addresses. Sending a MessageIf you want to send messages, go to the "Sending a Message" tab. You can begin sending a new message by clicking the "New E-Mail" link. You will then be in Message View. Group:Choose one or more groups to which you would like to send a message. The number of recipients in the group is displayed after the name of the group. Name of the sender:This is the name the e-mail recipient will see. Use your own name or the name of your business or organization. Sender's address:The sender's address will be visible to the e-mail recipient. If the recipient replies to the message, the message will be sent to the address set here. Message subject line:The recipient will see this as the message subject line. It should be concise and descriptive. Assemble the message from existing materialIf you have additional materials on your website, for instance, an online store, events or news, you can assemble the message automatically from the contents you have added to these features. You can choose a time span and the feature for the material from which you want to assemble the message, and click on the "Assemble a New Message" button. "The Message to Be Sent" field will display all the text entered in the feature you have chosen and you can then edit it. Message to be sentEnter the message of your choice into this field. Currently, messages can be sent in text format only. Message previewYou can preview the message you are sending before you send it to all recipients. Enter your own e-mail address in the field and click on "Send Preview." The message will be sent to this e-mail address only. After previewing the message, you can send it by clicking on the "Send Message" button. The e-mail message will be sent to all the recipient groups you have chosen. Message ArchivesYou can examine the messages you have sent by clicking the "Message Archives" link on the "Sending a Message" tab. This page allows you to view all the messages you have sent. You can view the time the message was sent, subject, type and the number of recipients. The "View" link allows you to view the message you sent and all the recipients. Address SearchYou can search for single addresses on the "Addresses" tab. You must type all or part of the e-mail address in the text field and click on "Search". The search results page displays the addresses containing the search terms. You can now select the addresses you want -- or select the action you want to complete -- from the drop-down menu (for example, deleting recipients from a group or moving them to another group). You can view the selected e-mail address details by clicking on the address. You can view, for instance, when members have joined the list and all the groups to which they belong. This page also allows you to copy the address to a selected group or to delete it. Passive AddressesPassive Addresses list addresses of users who are not members of any group. It is not possible to send messages to passive addresses; they are displayed under their own group in the "Groups" tab. When you delete an e-mail address from the groups, the address is not completely removed from the system. It instead becomes a passive address. You can move a passive address back to the group of your choice or delete it completely from the system. SettingsYou can edit the mailing list settings from the "Settings" tab on the left column. Page for joining the mailing list availableYou can select the availability of a separate page for joining the mailing list. If public groups are available, they are displayed on this page, allowing the user to choose one or more groups to join. If public groups are not defined, the user only joins the default list. You can also define the text for this page under "Text for Joining the Mailing List." Page for leaving a mailing list is availableYou can select the availability of a separate page for users who have joined a mailing list to choose to delete their e-mail address from the list. Joining the mailing list in the columnIf you choose, you can display a block for joining the mailing list in the right-hand or left-hand side column of the website. If there are public mailing group lists available, they will be displayed in a drop-down menu. The user can only choose one group at a time with this method, in comparison to the several groups that can be selected on the separate page for joining a mailing list. You can edit the location and order of the blocks in the side column as you choose. You will find more details on moving the blocks under the "Page Layout and Structure" instructions. You can also set the default settings for sending e-mail messages by entering the sender's name and e-mail address. You can edit this information every time you send a message, but if the name and address of the sender are usually the same, they can be pre-saved as a default setting. Save the changes in the settings with the "Save" button. |
